Company Reservation Parameters


System Maintenance Menu -> Configure System Settings -> System -> Company & Divisions -> Company Parameters -> Reservation Parameters

The tunable Reservation Parameters can be accessed from the window in the Company Parameters.

General Settings
AUTO PURGE DAYS
When reservations expire (Client fails to show up) or are outdated, and there is no outstanding deposit, the reservations can automatically be purged from the system after a specified number of days.

If expired reservations should not be automatically purged from the system, or if your firm does NOT use the reservations programs do not setup the purge job for RSRH98A in the Automated Job Scheduling.
This value will then not be applied.

If a grace period is allowed before the purging, enter the number of days following the reservation due date after which the software should purge expired or old reservations.
The purge is executed by the job RSRH98A when setup in the Automated Job Scheduling process to delete the old documents from Reservations.
An audit record is written to the Delete Log for RSRH98A to track purged reservations.

Leave this field blank if expired reservations should immediately be purged from the system, and setup RSRH98A to run daily in the Automated Job Scheduling to execute this purge.

Note: Any Reservations with an outstanding deposit will not be purged.

When the Auto Purge Days is set to a value other than zero, the Region Reservation Fulfillment utility will not create transfers for Reservations with a header date older than the purge days.
This is a precaution to prevent redundant transfers from being created when the fulfillment utility is run, in the event the Daily Close is not up to date.

Convert Settings
These parameters apply to the Convert Reservation to a Contract and Convert Reservation to a Worksheet programs.

CLERK BASED ON RESERVATION
Check this box to default the clerk on the resulting contract or worksheet from the clerk code set on the source reservation.
Uncheck this box to default the clerk on the new document from the operator code.

This can be over-typed at conversion as required.


REVIEW CONTRACT DEFAULT
Select one of the following options for the default action after the reservation has been converted to a contract in Convert Reservation.
This default can be changed as required during the convert process.
  • Enter E or select Edit from the drop-down box to set the default to access the contract details immediately after the conversion.
    This allows the resulting contract details to be reviewed and modified.
  • Enter N or select No from the drop-down box to trigger no immediate action related to the resulting contract after it is created.

  • Enter P or select Print from the drop-down box to set the default to print the new contract after the conversion.


DELETE RESERVATION DEFAULT
Check this box to set the default to delete the source reservation as soon as it has been converted to a contract or worksheet.
Uncheck this box to set the default to save the honored reservation after conversion.

This can be changed at conversion as required.

Note: Once the reservation has been converted, the delete action is NOT restricted by the delete reservations role permission defined in Security Roles.


DELETE REQUIREMENTS FOR HONORED
The requirements table tracks product booking times so availability can be monitored, and can be viewed in Requirements Inquiry by Product/Group.
When a Reservation is filled in Convert Reservation to a Contract requirement records are written for the new Contract, and if the reservation is not deleted, this parameter can be used to control whether the product booking records are deleted from the requirements for these honored reservations, or whether the booking transactions should remain in the requirements file until the reservation itself is deleted.

Check this box to remove requirement booking transactions for products when the reservation is converted to a contract using Convert Reservation to a Contract, even if the reservation itself is not deleted.
All filled or honored reservations then become historical reference documents that cannot be changed and additional deposits cannot be added. This includes previously converted reservations.
Honored reservations can be re-converted to a new contract at some later date and then new requirement records would be written for the resulting contract.

Uncheck this box to continue to maintain the old product booking records when a reservation is filled if that honored reservation is not deleted.
There is usually no availability problem if the source reservation booking transactions remain in the requirements table because there will be a minus quantity for the reservation out date/time and a plus quantity when the reservation is due back, however because requirement booking records are also generated for the new Contract created from the reservation, the booking records for the reservation are no longer very relevant and could cause availability count confusion during those dates.

Confirmation is required.

When this Delete Requirements for Honored reservations flag is changed, the next time the Rebuild Requirements utility is run, any booking transactions for previously honored reservations will be deleted if the feature has been activated or restored if the feature has been de-activated.

Note: This feature does not apply to Convert Reservation to a Worksheet so with this convert action, requirements are only ever deleted when the reservation is deleted.

Note: Any changes made to these parameters will not be applied until the Company Parameters are accepted.
