This utility can be used to captured the data for the Rental Age Report as a "snapshot" as of the Last Captured Date so that any further changes made to the products are not included.
The capture provides two options to format the Rental Age statistical output for a Class/Group selection:

  1. Rolling 13 Month capture:
    - used to generate a spreadsheet listing the totals for each month for the 13 months prior to a selected cut-off date
  2. Date Range or Period capture:
    - used to generate the summarized statistics, or the detailed statistics by Product for a selected date range

    Note: When the date range selection for the 'Period capture' report is a month, then the summarized statistics for that month would be the same as reflected for that month in the 'Rolling 13 Month' report.

Automated Job Setup:
When using Automatic Reporting to run the Rental Age Export, the last capture is always used for the export, whether the capture was generated manually or by the automated job scheduler.
A capture (RSPF118) job can be setup to run automatically and the export can be run manually from Rental Age Report or a combination of captures and exports can all be setup in Automatic Reporting.
e.g. A capture (RSPF118) job for "Rolling 13 Months" and multiple exports (RSPF119) with different parameters based on that capture can be setup, before a new capture (RSPF118) for a defined "Date Range" and export (RSPF119) job(s) are setup.
This means multiple job combinations can be setup, but the Export report always uses the last successful capture in the sequence.

On initial setup of RSPF118 and RSPF119 in Automatic Reporting, the parameter values default from the last used values defined in the manual Capture and Export.
If the 13 Month option is selected in the Capture and the Rolling To Month date is left blank, then the date defaults to the month prior to the current date. This is convenient so the operator is not required to update the Rolling To Month date monthly.
If the Reporting Set, Class and Group selections are all left blank then all products are selected.

The same configuration restrictions applied in the manual Capture and Export, also are respected in the automated job, such as:

  1. If the 13 Month option is selected it is import to leave the From/To Dates blank as the date range does not apply and if dates for both 13 Month and Date Range are entered an error will occur and the job will fail.
  2. The Services option can not be used with a Date Range capture.

A success/failure is generated to the email address defined for the Capture (RSPF118) job in Automatic Reporting, and the actual report is emailed to the address defined for the Export (RSPF119) job.

This capture screen can be used to select and filter the product data to be reflected in the Rental Age Report spreadsheet as follows:

LAST CAPTURE DATE
This is the date the last "snapshot" of the data was captured.
It will be updated the next time a capture is executed.

CAPTURE ROLLING 13 MONTH
Check this box to capture and compile the statistics for 13 months up to the Rolling to Month date below, to be output to a spreadsheet from the Rental Age Report.
This capture takes much longer, and does not provide the option to print product detail breakdown.
This prompt only applies to the Rolling 13 Month capture option, and can be used to define the last month to be reflected in the 13 month report.
ROLLING TO MONTH
Enter this cut-off date in the YYYYMM format.

Uncheck this box to use a Period Capture for the product statistics by selecting From/To dates. This method provides the option to export the summarized totals for the period and the product details for the period, to spreadsheet output from the Rental Age Report.
The following dates apply only to the Period Capture capture approach to define the reporting period.

FROM DATE
Accept the first of the current month or enter a preferred starting date for the reporting range.
TO DATE
Accept the last day of the current month or enter a preferred ending date for the reporting range.

DATE TO USE
Select one of the following dates to use for fleet aging:
  • Select Date Acquired to always use the date acquired from the Asset Tag Detail.
  • Select Date of Manufacture to use the manufacture date if defined on the product in the Make/Model and Re-Order Information window instead of the date acquired on the Tag.
    Products without a manufacture date will still use the date acquired from the Asset Tag.

    By using the Date of Manufacture option, when "used" equipment is purchased the appropriate usage is reflected because the calculation is based on manufacture date.


CALCULATE RENTALS FROM
This filter is only available if there is time or dollar utilization data available for the period, as captured in Automatic Job Scheduling.
If there is no utilization capture for the period then the Monthly History is used.

Select one of the following data source options:

  • Select Monthly History to use for the source of the rental revenue values to be used in the calculations for the period.
  • Select Utilization Capture to use the utilization values captured for the period by RSTU06, which is automatically run from either RSTU01 or RSTU02 in Automatic Job Scheduling.

AVERAGE COST GREATER THAN
Enter a minimum average cost limit to only return products that have a greater average cost or leave this field blank, if there should be no product cut-off value.

PRODUCT TYPE
Select one of the following types of products:
  • Select Non-Bulk to only capture information on non-bulk rental equipment in the selection range.
  • Select Bulk to only capture information on bulk rental products in the selection range.
  • SelectAll to capture information for all rental products in the selection range.
    When all products are captured, the option to output bulk or non-bulk products is then provided in the Rental Age Report.

INCLUDE NON-INVENTORY ITEMS
Check this box to also include product numbers flagged in Rental Inventory as 'Not' being inventory, along with products in the rental fleet.
Uncheck this box to only include products flagged as in inventory and thus part of the rental fleet.

INCLUDE RE-RENT ITEMS
Check this box to include rental products defined as re-rent products per the re-rent flag in the Additional Information window of the associated Rental Product Class, along with products in the rental fleet.
Uncheck this box to only include products that are not re-rent products.

REPORTING SET, "ALL" OR "SEL"
Leave this field blank to skip the Set selection field, in order to use one of the Product Class, Group selection, or all product selection options instead.

To utilize the Set selection and sort by Set choose one of the following:

  • Type ALL to include all Sets as setup in Reporting Sets in the report.
  • Enter a single specific Set code for the report, or select one from the Reporting Set Search window.
  • Type SEL to select a range of Sets or to select Sets by Owner to include in the report, as outlined in Select Reporting Sets.

If a Set selection was made the Product Class, and Group options are skipped.


PRODUCT CLASS, "ALL" OR "SEL"
Leave this field blank to skip the Class selection field in order to use the Group selection or all product selection instead.

To use the Product Class selection and sort by Class choose one of the following:

If a product Class selection was made the Group selection option is skipped.


PRODUCT GROUP, "ALL" OR "SEL"
Leave this field blank to skip the Group selection field, leaving it blank in order to include all products with no sort instead.

To use the Group selection and sort by Group choose one of the following:

  • Type ALL to include all Rental Groups in the utilization report.
  • Enter a single specific Group for the report, or select it from the Group Search window.
  • Type SEL to make a selection of Groups to include in the report, as outlined in Select Groups.

INCLUDE SERVICES REVENUE
This capture filter is only offered with the Rolling 13 Month option where selected "Services Revenue" can be tracked.
Click on the ? icon on the screen beside this field for information on the available options.

Enter one of the following for options for how Service revenue is reflected on the spreadsheet output:

  • Type NONE if service revenue should not be reflected on the report. This capture is faster as services do not need to be reviewed in the calculation.
  • Type ALL to include the revenue from all services.
  • Enter a single specific service code for the report, or select one from the Service Search window.
  • Type SEL to make a selection of services to include in the report, as outlined in Select Services.

Finished?
Click the ACCEPT button to generate the snapshot of the product information, or CANCEL to abort.
The output from this capture can be exported to a spreadsheet using Rental Age Report.
