Rental Age Report Export

Reports Menu -> Automatic Reporting -> Function RSPF119 -> runs Rental Age Report Export


This fleet age report applies only to rental equipment, and is always output in spreadsheet format.
All exported values are based on the last "snapshot" captured from the Rental Age Report Capture utility, which also determines whether the spreadsheet will be generated for a selected Period, or whether the output is a Rolling 13 Month spreadsheet.

Whether using Automatic Reporting to run the Rental Age Export or running the export manually, the last capture is always used for the export report, whether the capture was generated manually or by the job scheduler.
Refer to Rental Age Report Capture for more details on using the automated feature.

The input parameter definitions include:

LAST CAPTURE DATE
This is the date the last "snapshot" of the data was captured in the Rental Age Report Capture utility.
FROM DATE
This is the start date for the reporting range as defined by the Rental Age Report Capture as of the Last Capture Date.
TO DATE
This is the end date for the reporting range as defined by the Rental Age Report Capture as of the Last Capture Date.
DATE TO USE
The Date Acquired or the Date of Manufacture selection is displayed as defined by the Rental Age Report Capture.
CALCULATE RENTALS FROM
The Monthly History or the Utilization Capture selection is displayed as defined by the Rental Age Report Capture.
REPORTING SET
This is the Reporting Set filter selected for the Rental Age Report Capture.
For the 'Period' report, the detail spreadsheet will sort the products by Reporting Set.
PRODUCT CLASS
This is the Product Class filter selected for the Rental Age Report Capture.
For the 'Period' report, the detail spreadsheet will sort the products by Product Class.
PRODUCT GROUP
This is the Group filter selected for the Rental Age Report Capture.
For the 'Period' report, the detail spreadsheet will sort the products by Group.

Note: If none of the Reporting Set, Class, or Group filters were used in the capture, the 'Period' spreadsheet will be generated in product detail with no sort.


PRODUCT AGING
Select one of the following aging methods for the report output:
  • Select Useful to use the Average Age/Hrs compared to Group useful Months/Hrs to determine the eligible products.
  • Select Inventory to uses the product Acquisition/Disposal dates to determine the eligible products.

COST TYPE
Select one of the following cost options for the report output:
  • Select Adjusted First to calculate utilization based on Revenue/First Cost
  • Select Total Original to calculate utilization based on Revenue/Total Original Cost
  • Select Both with the KPI report type to list products basing utilization on both First and Original Cost.

INCLUDE BULK PRODUCTS
Check this box to include bulk products and non-bulk.
Uncheck this box to list only non-bulk rental equipment.

REPORT TYPE
The following output options are enabled according to the report format selected for the "snapshot" in the Rental Age Report Capture utility:
  • Period by Date Range:
    • Select Summary to list the product statistics summarized by Class/Group/Product as determined by the reporting filters selected for the Rental Age Report Capture.
      This option is not available if none of the Reporting Set, Class, or Group filters were used in the capture.
    • Select Detail to list each product individually on the spreadsheet, sorted by the filter selection of Reporting Set, Class, Group or none.

      SELECTED COLUMNS
      This check box is only enabled for the Summary or Detail report types.

      Check this box to view and select the columns in the Select Columns to Export window that should be displayed in the spreadsheet output for this report run.
      Uncheck this box to generate the spreadsheet including all columns available for this report.

  • Rolling 13 Month:

    • The 13 Month option to export the monthly totals for the 13 month period is selected and cannot be changed if the Rental Age Report Capture was done using the 'Capture Rolling 13 Month' option.
    • The KPI option also exports the monthly totals for the 13 month period, but provides a breakdown of various KPI revenue.

Click ACCEPT to generate the spreadsheet or CANCEL to abort.
The ability to email the spreadsheet or display it on the screen is controlled by the Prompt to Email Spreadsheets flag set in Company Miscellaneous Parameters.

The columns on the resulting spreadsheet can be explained as follows:

DESCRIPTION   : Current Product Description, not based on the capture.

QTY           : Quantity On-Hand with "Ratio" applied

VENDOR        : Current Product Vendor, not based on the capture.

VENDOR PRD#   : Current Vendor Product Number, not based on the capture.

ACQ DATE      : Non-Bulk Rentals only based on Acquired Date on Asset Tag

ADJ 1ST COST  : Products Adjusted First Cost value

ADD PER TAG   : Non-Bulk Rentals only based on Additions on Asset Tag

SERVICE       : Sum of Repair Transactions (WRPH)

BOOK VALUE    : Sum of Book Values on Asset Tags

LIQ VALUE     : QTY column * Group defined Liquidation Value

                Note: If status is 'D' then 'Liquidation Value' will be zero

VAR TO NBV    : 'Liquidation Value' column - 'Book Value' column

TOT ORIG COST : - NON-BULK: Sum of Asset Tags Original Cost
                - BULK    : Adjusted First Cost

REVENUE       : Using "Monthly History":   Sum of Revenue Dollars based on (RSMH)
                Using "Utilization capture":  Sum of Dollar Utilization

DOLLAR UTE%   : Based on Cost Type report selection filter of "Adjusted" Or "Original"
                 ADJUSTED = Revenue / First Cost * 100
                 ORIGINAL = Revenue / Replacement * 100
                "RATIO" also applied where RATIO = Days item is in stock in Period / Total Days in Reporting Period

                Note: This percent column is displayed as a decimal of 100, so the value can be easily used in
                a formula, but if the spreadsheet is reformatted the values in this column will display as percents.

PERIOD $ UTE% : Revenue / (Cost X Average Quantity)
                - where the "Average Quantity" is the product quantity adjusted for the portion of time it has
                been active for the capture period.
                e.g. If the product became active after the "from date" or was disposed before the "to date",
                then the "Average Quantity" will be reduced accordingly.

                Note: This percent column is displayed as a decimal of 100, so the value can be easily used in a
                formula, but if the spreadsheet is reformatted the values in this column will display as percents.
                

TAG STAT/DATE : Non-Bulk Rentals only based on Status in Asset Tag & if status is 'D' then Disposal date is exported

TOT DAYS RENT : Using "Monthly History":  Sum of (Monthly History Rental Hours / Calendar Hrs in Day)
                Using "Utilization capture":  Total Rental Days from Utilization capture

TIME UTE %    : (Rental Days / (Qty * 100) * 100) / Days in Reporting Period

AVG DAYS PER RENT : Days Rent / Number Of Rentals, where 'NUMBER OF RENTALS'= Sum of Sales History Qty based on Contract

                Note: If a contract is invoiced more than once then the system will only include the initial
                       sales history record.

AVG AGE       : NORMAL CALC: (To Date - Date Acquired) / (365/12)

IF DISPOSED   : (Disposal Date - Date Acquired) / (365/12)

USEFUL MONTH  : Group defined Useful Life Months

USEFUL HOURS  : Group defined Useful Life Hours

# OF RENTS    : Number of Rentals based on Sales History (where a contract is only counted once)
                Refer to 'AVG DAYS/RENT' above

OEC UTE%      : ('OEC Rented' / 'OEC Value') * 100

                Note: This percent column is displayed as a decimal of 100, so the value can be easily used in
                a formula ,but if the spreadsheet is reformatted the values in this column will display as percents.

OEC RENTED    : (Days Rented / [Days in Reporting Period * Qty] ) * Item Cost

OEC VALUE     : 'Owned Equipment Cost' = Qty * Item Cost

                Note: The report selection Cost Type determines whether Item Cost is 'First Adjusted Cost' or
                'Average Cost'.  Values are calculated based on average of the capture records for the period,
                or if no capture records are available for the period the product files values are used.

LEASING VENDOR: Vendor number assigned in the Lease Information window of the Rental Inventory,
                on product detail output only.

CURRENT METER READING: Non-Bulk Rental meter units for metered products.

FAIR MARKET VALUE: FMV for Non-Bulk Rentals from the Appraisal Values

ORDERLY LIQUIDATION VALUE: OLV for Non-Bulk Rentals from the Appraisal Values

FORCED LIQUIDATION VALUE: FLV for Non-Bulk Rentals from the Appraisal Values
