Change Vendor Invoice Due Dates


Utilities Menu -> Accounts Payable Utilities -> Change Posted A/P Invoice Due Dates

The Due Date of an A/P invoice is determined at the time the invoice is entered in A/P Invoices or A/P Invoices By P.O.
It defaults from the Terms setup for the Vendor in Vendor Information but can be changed at the time of entry.
This Due Date is saved with the posted invoice and can be reviewed by Vendor in Vendor Account Inquiry. It is used to determine when the invoice is due for payment.

This utility can be used to change the Due Dates on posted A/P invoices.
The Note field in the Invoice can also be modified.
Vendor account aging information is displayed at the bottom of the screen.

The prompts are:

VENDOR NUMBER
Type in the vendor's number, or press look it up in the Vendor Search window.

STARTING DATE
This date determines the beginning point for displaying invoices on the screen.
Accept the displayed date to display the entire account or enter a preferred starting date to narrow the search.

CUT-OFF DATE
This date determines the ending point for displaying invoices on the screen.
Accept today's date to display the current account activity, or enter a preferred date.
Invoices posted after this Cut-Off date do not display and are not included in the account Total.

AGING DATE
This date is used to age the outstanding invoices into Current, 31-60 Days, 61-90 Days and Over 90 Days aging groups.
Check this box to age as of the month end.
Uncheck this box to age as of the Cut-off Date.

ALL CURRENCIES
Check this box to include all currencies in the output.

Uncheck this box to select a specific currency for the output.

CURRENCY
Enter the currency, or select it from the drop-down list.

Finished?
Click the ACCEPT button to generate the output, or click the CANCEL button to abort.

Resulting Invoice Detail:
The resulting output displays a list of the suppliers invoices with dates and amounts as follows:
INVOICE #
To view further information on both the invoice and the vendor window on the invoice number.
In the window the following fields can be changed:
ADDITIONAL INFORMATION window
INVOICE#
Window on the Invoice# field to view the Payment History for the selected invoice.
The check date, check number and amount paid are displayed.

DISC DATE
The Discount Date is displayed and can be modified.
DISC%
The Discount percent is displayed and can be modified.

NOTE
Comments can be entered or modified for the invoice.
PRINT ON CHECK STUB
Check this box if the Note is to be printed on the A/P check when the Invoice is paid.
These Notes also then print on the Cash Requirements Report.

Uncheck this box if the Note is information only, and is NOT intended to be printed on the A/P check or the Cash Requirements Report.


1099 CODE
This code can be modified.

Finished?
Click OK to save changes and exit the document detail.

DUE DATE
From the full account inquiry screen, the Due Date is displayed.
This date can also be over-typed to change the date the invoice is due for payment.

Note: The invoice date and the posting date are displayed but these cannot be changed.


DISCOUNT
The existing discount percent is displayed.
This can be over-typed as required.

Finished?
Click ACCEPT to accept changes and exit, or click CANCEL to abort Due Date and Discount changes and exit.

Note: Any changes to dates, discounts and notes that were made in the document detail Additional Information window have already been saved even if the operator cancels out of this Invoice list screen.
