Fax Single Invoice


Accounts Receivable Menu -> Customer Account Inquiry -> Invoice window-> FAX button -> Invoice option -> Fax Single Invoice

This program will fax an invoice to a customer. Your company name, address, phone and fax number will be preprinted in the center at the top of the invoice, so that a cover page is not required, unless you want to precede the invoice by more than two comment lines.
Only one invoice at a time may be faxed.

Standard terms specific to your Invoices can be setup in Setup Document Faxing Terms to fax as a second page after each invoice is faxed using VSIFax.

Note: Crystal Reports does not support direct document faxing:
Even if your firm utilizes Forms Control, the standard print format of the document will be faxed when these direct faxing utilities are used.
If a Forms Control document is required, print the document and fax a copy manually.

The prompts to fax an invoice are:

INVOICE LOCATION
Select from one of the following invoice status options:
  • Click Current to fax an unposted current invoice.
  • Click Batch to fax an invoice that has been posted through Daily Close 1 but has not yet been posted to history in Daily Close 2.
  • Click History to fax an invoice posted to history.

INVOICE NUMBER
Enter the desired invoice number, or look it up in the Invoice Search window.

FAX NUMBER
If the fax number is on record, it will display automatically.

If the fax number does not display, type it in.
Do not use spaces between the numbers, since this is not acceptable to the fax modem. Dashes are ok. If the customer is long distance, type a 1 in front of the fax number.

e.g. Acceptable fax numbers include: 14165551000 or 1-416-555-1000


SEND COVER PAGE
Check this box to send a cover page for the fax and enter an unlimited number of lines of comments for the cover page as outlined in Fax Cover Page Comments.

Uncheck this box to skip the cover page. Two lines of comments can still be included that will print at the top of the document.

COMMENT 1
This is a comments line that prints at the top left corner of the fax, before the document prints. It can be used to indicate who is to receive the fax.

COMMENT 2
Use line 2 if more space is required.
