Salesman Codes


System Maintenance Menu -> Configure System Settings -> Customer Management Tab -> General Settings -> Salesman Codes

A salesman can be assigned to each customer in the Customer Information.
The codes can be maintained in the Salesman Codes window on the Customer Management tab of the Configure System Settings.
An operator must be assigned a Security Role that allows permission to the Customer Management - Salesman Codes in order to access this table.

A flag in the Required Document Information of the Company Contract Parameters, can be set to make the salesman a mandatory field on all documents.

When the salesman is recorded on documents, it can then be used to calculate and generate commissions in Commission Reports.
Other reports that utilize the salesman code include Customer lists, Aged A/R reports, Customer Statements, Purchases Reports and the Customer Contact follow-up utilities.

Salesman Web Access:
Future development will provide the ability for a Salesman to sign into the Web Services Portal using his email address and password.
From there the Salesman can change the Portal session to run as a specific customer assigned to that Salesman, enabling him to view the customer's account and to create documents for the customer reflecting the customer's discounts and rate levels.
Each Portal document tracks whether it was generated by the Customer, Salesman, or Staff.

The salesman records can be setup as follows:

SEQ
The sequence number tracks and sorts the records in the file.

CODE
Use a maximum of 2 characters for the Salesman Code.
The salesman's initials or a numeric code can be used.

DESCRIPTION
Use a maximum of 30 characters to enter the Salesman name.

EMAIL
Enter the salesman email address.
This address cannot already have been assigned to another salesman or to a customer for web services purposes in Customer Internet Information or Portal Customers. If this address has already have been assigned to another salesman or to a customer for web services purposes in the Customer Internet Information window, an error is thrown and the Email Assigned List is triggered for follow-up.

The system uses this address to notify the Salesman through Automatic Job Scheduling, of activity required as noted in the Comments/Follow Up window of Customer Contact Information, and is included on the Customer Rate Card.

If no email address is recorded here, then the company email address as listed in Company Miscellaneous Parameters is notified.

This email address can be used to sign into the Web Services APIs using a soapui, and with future development this email address could also be used to sign into SRM's Web Services Portal.
Once signed in, the Salesman can change the web session to run as a specific customer assigned to that Salesman in the Customer Information, enabling him to view the customer's account and to create documents for the customer reflecting the customer's discounts and rate levels.

Note: The Email Address Search can be used to identify customers or salesman by using a search on email address or portion of the email address.


CELL PHONE
Enter the optional Salesman mobile phone number.
This is included on the Customer Rate Card.

Click EXP/CON button or press <F9> to expand the detail line and to access the following fields:
COMMISSION TYPE
A commission type can be assigned to this salesman, or select a type from the window as setup in Salesman Commission Types for use in calculating commissions in the Commission Report By Commission Type.

SPLIT COMMISSION
This window can be used to setup the percent of the commission to be shared between multiple salesmen.
The total percent split can exceed 100%

PASSWORD SET
This box is automatically checked if a password has been assigned to this Salesman in the Change Password field, or unchecked if there is no password assigned.

CHANGE PASSWORD
Window to setup, change, or remove, the personal password for this Salesman that provides access the Web Services.
If a password already exists for this Salesman the Password Set box above, will be checked but for security purposes the password will not be displayed in this window.
A password can be manually entered, or click on the Create icon to use the system generation tool to provide a random password that will be much harder for a hacker to discover.

To remove the password, enter a space.
Confirmation is required.


FAILED LOGINS
For security purposes, this field tracks the number of consecutive failed login tries by the salesman.
The account becomes locked after a number of unsuccessful attempts, as determined by a setting in Presentation Themes. The salesman is then denied access and is sent a warning message.
The wording of the warning message can be modified as required in the Customizable Wording "Error Messages" window on Global Portal Settings.

The account can be unlocked by changing this Failed Logins count back to zero.

Multiple salesman codes can be setup as needed.
Click ACCEPT when the records are completed to close the window.

Note: The Clerk Code "_Cr" is reported on invoices generated from automatic billing from Automatic Reporting.
