Post Standard G/L Journals


General Ledger Menu -> Post Standard Journals

After the correct amounts have been entered for the journals in Standard G/L Journals in the "General Ledger" parameters on the Accounting tab of the Configure System Settings, use this program to select the journal entries to post with the posting dates.

After posting, the G/L transactions from Post Standard Journals can be viewed in the Inquiry By Account# or Inquiry By Transaction#, and even output to a spreadsheet from the G/L Activity By Posting Source utility.

The Post Standard Journal table displays any previously selected unposted journal entries and additional journal postings can be selected with the following prompts:

SEQ
The Sequence number is a system assigned number to track the records in the posting table.

JOURNAL
In Add mode enter any additional journal entry number to be posted or selected it from the Standard Journal Search window.

Note: All Journal entry numbers displayed on the screen are considered to be selected for the posting.
To omit an entry, delete the record from the list.
Confirmation is required.


TYPE
The type of Journal Entry selected will display for reference.
There are three types of Journal Entries:
Type A is for an Accrual Journal Entry (includes the auto reversal).
Type C is for a Clearing Journal Entry (resets to zero after posting).
Type R is for a Recurring Journal Entry (repeats the same amount).

DESCRIPTION
The Journal Type description is displayed for reference.

POST DATE
Accept the default posting date of the current month end or enter the date to be used for the transactions associated with this Standard G/L Journal.

REVERSE DATE
This reversing accrual date defaults to the date following the 'Post Date' selected above.
Accept this date or type in the correct date for the Accrual Reversal.

Note: This date does not apply and will be ignored for Clearing and Recurring journal postings.


Finished?
Click CANCEL to abort the posting.
Any Journal Entries selected will be saved and can be re-posted later.

Click ACCEPT to post the selected journal entries on the defined dates.
Confirmation is required to commence printing the G/L Standard Journal Report.

POSTING CONFIRMATION
Once the posting report has been generated, review the details and accept or abort as follows:

Click YES if the report is correct and ready to post.
The program posts all Journal Entries printed on the Standard G/L Journal Entry Posting report.

Click NO to abort the posting process.
Adjustments to amounts and accounts can be made in Standard G/L Journal before reprinting the Journal and posting.

Note: After accepting the posting, the journal entries setup in Standard G/L Journals will not be deleted.
However, the amounts for Accrual and Clearing Type Journal Entries will be reset to zero in preparation for the new amounts in the next run.

Maximum Journals Warning:
The maximum number of Standard Journal entries that can be posted to history (GLJH) under the same journal number is 999.
At the posting count of 991 journals with same number, the system starts to issue a warning to alert the operator, and when the max is met a rollback is generated.
To avoid hitting the maximum count, when the approaching maximum records warning is displayed the journal should be re-created under a new name in Standard G/L Journals to resolve the issue prevent the rollback.


Posting Controls:
After the standard journal entries are setup in Standard G/L Journals, they can be completed and posted from Post Standard Journals.
Journal entries cannot be entered while the posting process is in progress, nor can posting be initiated if another operator is posting or is still entering journals transactions.
Locking will occur if an operator did not exit the posting program correctly.
A Posting Control Information warning will appear on the screen and only operators with Security Role permission to reset the General Ledger - Standard Journals flag will have access to the RESET button that unlocks the program.
Whenever the posting control flag for Miscellaneous Journals is reset, a record is written to the Delete Log for the Function GLJH90.
Note: In some conditions, when the system is unable to determine if it is safe to unlock the posting control flag, the following warning is displayed:
'Another user is currently reviewing the standard journals. Posting not permitted at this time.'
