Internal Branch Transfers


Inventory Control Menu -> Internal Branch Transfers -> Internal Transfer Console -> MAINTAIN button -> Internal Branch Transfers

Internal branch transfer records are created to list products with the quantities that are to be shipped to another location.
Transfer records can be:

Internal branch transfer records can be created, reviewed, and modified, by clicking on the MAINTAIN button on the Internal Transfer Console.
When quantity is put on a transfer or is shipped (and not yet received), the quantity still shows as On Hd but also On Order at the source location, and not On Hd yet, but On P.O. at the target location.

Once the transfer record is complete, quantities can be flagged when shipped using Ship Internal Transfers, and then received using Receive Internal Transfers.

The prompts are:

TRANSFER NUMBER
In Add mode, the next available transfer number will automatically be assigned.

The ability to over-type the transfer number is controlled by the Allow Custom Document# flag for the document type INDH as defined company wide in Last Used Transactions.
A warning is generated if the number has already been used.

To view an existing transfer in Change mode, enter the transfer number or look it up in the Internal Transfer Search window.

Note: Transfers from other divisions cannot be accessed if the feature to Allow Edit/Receiving of Internal Xfr from Other Divisions is activated in the Company Security Parameters.


SOURCE
When the transfer originated from the Region Reservation Fulfillment utility, the source Reservation number is displayed for reference.
When the transfer originated from a Texada Web - Dispatch request, the source Work Order number is displayed for reference.

DATE
For a new transfer, accept today's date or enter the correct date of the transfer.

Date Range Control:
If the operator does not have the ability to over-ride the current date range, the transfer date will be checked to make sure the date is valid against the date ranges set as acceptable for module RSTH in Date Range Control.

Date Change:
When viewing an existing transfer the transfer date displays.
To change the date of an existing transfer click on the icon beside the Date field, as outlined in Change Transfer Date.


P.O. NUMBER
This field does not apply when a transfer is being added manually.
On a transfer generate from a receiving, the Purchase Order number from the receiving record displays, if applicable.

FROM LOCATION
In Add mode, enter the shipping location, or select a location from the window.
In Change mode, the P.O. location displays.

The product quantity will be transferred out of this location.

A flag in the Company Security Parameters can be set to restrict operators from entering transfer records for locations other than the location assigned to the operator in Operators.


TO LOCATION
In Add mode, this location defaults to the "From Location" so enter a valid receiving location, or select the location from the drop-down list.
In Change mode, the end re-order location displays.

The product quantity will be transferred to this location.


TRANSFERRED BY
The clerk code prints on the transfer document.

If there is no operator security on transfers, accept the operator code that is currently signed into the session or select the clerk code from the drop-down list.
In Change mode, the operator code from the receiving record displays.

Security:
The Prompt For Clerk on Inventory/Internal Transfer flag in the Company Security Parameters can be set which removes the default operator code to force the user to enter a valid clerk code as outlined in the Prompt for Operator window.
A password requirement can also be set in the Company Security Parameters requiring the clerk code to be validated in the Password Required window.


COMMENTS
Enter any comments related to this transfer.
System generate comments could include the weight of the shipment, or the source of the transfer.
e.g. Stock allocation, transfer worksheet, warehouse receiving

These comments print on the transfer document from Print Transfer Packing Slips.


STATUS CODE
This prompt only applies if the Two-Step Transfers Update Status Code feature is activated for the "From Location" for this transfer, in the Divisional Inventory Parameters.

Enter a Status Code or select one from the window, as outlined in Product Status Code Search.
All Non-bulk rental items on this transfer will be updated to this new code when the items are received at their destination in Receive Internal Transfer.
When the product Status Code is changed on receipt of a non-bulk rental product, an audit record is written to Status Code Change History for INDH04.

Leave this field blank, if the Status Code should not be updated for items being transferred at the time they are received.

Product Transfer Details
When reviewing an existing transfer, shipped items cannot be modified.
SEQ
The sequence is assigned automatically to each product detail in the transfer. Detail lines may be added or deleted from the transfer.

PRODUCT #
Enter the product # to be transferred, or scan in the barcode, or look it up in the search window.
The search for the products or groups can be by Inventory Search or by Kit Search.

To enter a product Group instead of a specific non-bulk rental product, enter the Group number preceded by +.

e.g. +2301
If a Group is entered for the transfer, the specific non-bulk rental product must be assigned when the transfer is shipped in Ship Internal Transfer.

Note: Non-bulk rental products having either a status of 'O' for Out on rent, or 'F' for Off Rent on a contract, can only be transferred if the "Allow Over-Rides on Location Quantities" is set to 'Yes' in the Company Security Parameters.

TRANSFER PROHIBITED
If a rental product has been assigned a status code that does not allow transfers, a Product Availability warning is triggered and the product cannot be transferred until the Status Code is changed.

DESCRIPTION
The product or Group description displays.

A flag in the Company Inventory Parameters controls whether the product description can be modified on the transfer.


HOLD
The hold flag indicates whether the products are ready to be shipped from the central distribution location to the end re-order location. Products on Hold cannot be shipped.
Internal branch transfer records that have been generated automatically by inventory receiving in Warehouse Receiving, are initially assigned a Hold status.

If the flag is changed, after the quantity is accepted the operator is prompted:

CHANGE STATUS OF ALL ITEMS
Uncheck this box to change only the status of the one product.
Check this box to change all product details on this transfer to the new status.

QUANTITY
The quantity to be transferred from one location (i.e. the central distribution) to another location (i.e. the end re-order location) is displayed.
Negative transfer quantities are not allowed.

If the transfer is being generated for a serialized sales product, and the product is NOT flagged to enter serial numbers at "Time of Sale", the Select Serial Number window opens to choose the serial number that is to be transferred.

If this product has a kit assigned, the option to include the related kit items is provided. Kit items can be selected from the Select Kit Products window provided.

Overbooking Control:
The divisional Two-Step Transfer Check Availability for # Days value in the Divisional Inventory Parameters controls how overbooking requirements are checked for the transfer quantity of this product.
The number of days specified, determines the period of time as of the starting date, during which availability requirements should continue to be checked, to prevent any transfers from being generated within that period that would cause an overbooking in the "Transfer From" location.
Any overbooking warnings during this period can be viewed in the window.


SHIPPED
The quantity already shipped to the end location is displayed.
This is updated when a transfer is shipped using Ship Internal Transfer or Ship Internal Transfer By Purchase Order.

RECEIVED
The quantity already received by the end location is displayed.
This is updated when a transfer is received using Receive Internal Transfers or Receive Internal Transfers By Purchase Order.

Expanded Product Detail Record
Click EXP/CON or press <F9> to view the serial number for any serialized sales parts listed on the transfer.

Finished?
Click ACCEPT to accept the details on the screen.
The options to print a packing slip and to ship the order are provided.

PRINT A PACKING SLIP
Uncheck this box to skip printing a packing slip at this time.
The transfer ticket can always be printed later from the Internal Transfer Console by clicking on the PRINT button.

Check this box to print a packing slip.
A printer can be confirmed or re-selected from the Printer option located on the menu bar at the top of the screen.
This document be included in the shipment to the end order location. Space is provided to record actual quantity shipped.
The Weight Shipped & Total Weight, plus Tools Shipped & Total Quantity for the entire transfer.

Note: If the transfer is not shipped immediately per the Ship All Items prompt, only new products added to the transfer record print on the packing slip.
If all products are being shipped, then all the products to be shipped will be included.
Products on Hold do NOT print.


SUB-TOTAL BY GROUP
Uncheck this box if the items on the ticket do not need to be sorted and sub-totalled by Group.
Check this box to print the packing slip sorted by Group with a sub-total quantity for each Group.

SHIP ALL ITEMS
Click NO to prevent shipping the products at this time.
The transfer can always be initiated later from the Internal Transfer Console by clicking on the SHIP button.

Click YES to ship the products immediately, including any products already on that transfer.
If a Group was booked on the transfer, then the specific product to be transferred must be selected in the Select Product to Transfer pop-up box.
