Internal Messaging


Sign On Screen -> SRM Main Menu -> NEW MESSAGE or READ button -> Internal Messaging

An internal mail utility is provided within SRM Software, that can be accessed from Internal Messaging buttons on the SRM Main Menu.
The Messages feature can be used to send internal messages within SRM without requiring any internet service for mail delivery.
If your firm uses Texada Web, messages can also be sent through the Internet to the Texada Web Mobile devices to communicate with drivers and mechanics.

Internal Message ID:
The Internal Messaging feature is only active in SRM when the operator has been assigned an 'Internal Message ID' in the Operator Codes.
The 'Internal Message ID' for the session displays on the SRM Main Menu below the Internal Messaging section.

For purposes of the SRM internal mail service, this 'Internal Message ID' tag does NOT need to be a valid address.
It can just be a name. This name or address can be unique if messages are private to a specific operator or can be shared so that all operators with this same address will share the same mailbox.
If the mailbox is shared, the first operator to read the email has control of it.

Note: Texada Web messaging is still available when a user does not have any 'Internal Message ID' setup in Operator Codes.

The mail summary includes:

INBOX
This is the total saved messages in this operator's mail box.
UNREAD MESSAGES
This count indicates the new messages sent to this operator that have never been opened (including Urgent unread messages).
URGENT UNREAD MESSAGES
This is the count of messages that have been flagged as urgent by the sender, that have not been read.

NEW MESSAGE
This button is disabled if the operator does not have an ID tag setup in the Internal Message ID field in Operators.
To initiate a new mail message click on the NEW MESSAGE button with the mouse, or press ALT_M key combination on the keyboard.
The prompts are:
TYPE
Select one of the following messaging actions:
  • Select 'Application' to send an message internally within SRM to another user setup with an 'Internal Message ID' in the Operator Codes.
    The prompts include:
    TO
    Enter the 'to address' or select a frequently used address from the drop-down list, or click the SEARCH button to access the search window to lookup a valid address for the message as assigned to operators in Operators.
    A flag in Operators can be set so that the Internal Message is sent to the operator's email address instead of his Internal ID tag.
    Note: To send an internal message to one's self, the word ME or MYSELF is recognized and is converted to the operator's own Internal ID tag.
    SUBJECT
    Enter a brief subject line.
    URGENT
    Check this box if the message should be identified as an urgent message and should be displayed in Red in the email in box.
    Uncheck this box if the message is not critical and should be displayed in black text.
    REMINDER DATE/TIME
    This field is only available when the message is being sent to the operator that is also sending the message.
    This can be useful to send one's self a reminder that can be triggered at a preset date and time.
    The message is sent immediately, but a reminder is triggered at the defined time.
    If no reminder is sent, a message is displayed immediately to alert the operator.
  • Select 'Texada Web' to send an message via Internet to a Mobile Device user based on the operator's 'System ID' and associated email address in the Operator Codes.
    This option is disabled if Texada Web has not been activated in Logistics. The prompts include:

    TO
    Enter the to address or select a frequently used address from the drop-down list, or click the SEARCH button to access the search window to lookup a valid address for the message as assigned to operators in Operators.
    Only operators who have Security Role Permission for Driver, Mechanic, or In-Yard Return staff can be selected to receive a Texada Web message.
    DUE DATE/TIME
    Enter the due date and time when this message should be sent to the Mobile device.

MESSAGE
Enter the text of the message, exactly as it is to appear to the receiver of the message.
Finished?
Click the ACCEPT button to send the message immediately, or click the CANCEL button to abort.
If a message is sent to a different operator or if no reminder is set on a message to one's self, a pop-up alert is displayed immediately to notify the operator that he has a message.

READ MAIL
This READ button provides access to internal SRM messages and is disabled if the operator does not have an ID tag setup in the Internal Message ID field in Operators.
To read new and saved internal SRM mail messages click on the READ button with the mouse, or press ALT_R key combination on the keyboard.
A list of all messages are displayed with the From operator, the mail Subject, and the Received date.
Urgent messages are displayed in Red in the email in box.
VIEW EMAIL:
A window is provided on the "Details" field to view the text of the message.
Messages can be deleted, forwarded, or a reply can be made.

Click the SET button to set an optional reminder time and date to trigger a delayed alert to follow-up on the message.
