Inventory Control Menu -> Detailed Inventory Inquiry

This product inquiry provides a complete overview of Rental and Sales product information.

The inquiry displays product quantities at all locations or for a single location, and provides product revenue and cost information as well as repair history.
Product quantities on Hand, on Order, on Contract, on P.O., on W.O., and quantities received in the warehouse, are all listed, along with the List Price and the Cost.
Windows are provided to view more detailed statistics in each of the areas.
The product information displayed, is view only and cannot be modified in this inquiry.

Note: When the option to view Open documents is selected in the Inventory Inquiry, all eligible open documents with any outstanding products are included in the display, and all products on those documents are listed regardless of the individual product status.
Whereas the document windows in this "Product Quantity Inquiry" using the Open documents selection, only display the outstanding products on the documents and suppress the closed or filled products.

The prompts are:


Product Information
PRODUCT #
Either rental equipment or sales products can be reviewed, and the section title on the screen changes to reflect Rental/Sales Product Information.

Enter the product number, or the bar code, or first few characters of the product description, or look it up in the Product Inquiry Search window provided.

Note: If the Product Inquiry Search window is used to find the starting product to view, the PREVIOUS and NEXT buttons can be used to move through the products in the selection sequence.
i.e. by Product#, within Group, or according to the filtered list


PRODUCT DESCRIPTION
The primary product description used by your firm is displayed.

CLASS
The Product Class code and description associated with this product are displayed.

GROUP
The Group code and description associated with this product are displayed.

Note: This Group prompt is displayed in bold text when the products are being displayed by Group sequence as selected in the Product Inquiry Search window, to move through the products in the group using the PREVIOUS and NEXT buttons.


VENDOR
The primary supplier number and name for this product are displayed.

VENDOR PRODUCT#
The product number used by the primary supplier for this product is displayed.

NOTES
The single line of notes defined for the product in Sales Inventory or Rental Inventory, is displayed.

STATUS
The current Product Status Code displays for Rental Inventory.
This field does not apply to Sales products.

ATTACHMENTS
This window provides access to any attachments associated with the product as outlined in File Attachments.

SPECIFICATIONS
Window to view any product specifications for this product as outlined in View Equipment Specifications.

Rates / Pricing
RENTAL INFO
This field does not apply and is disabled for sales products.

For rental products window to view the rate information specific to this rental item as outlined in Rental Information.


METER READING
This meter fields only apply to specific non-bulk rental equipment that are tracking meter usage on rentals.

The current meter reading is displayed that is updated when new readings are recorded as the equipment is rented, exchanged, put off or on rent, and returned.


LTD METER
This is the total units used in the lifetime of the equipment.
A Meter History window is provided to view the meter transaction changes.

LIST
The current list price displays for sales or for rentals.

Window to view special pricing for this product as in Special Pricing Search.


ALTERNATE LIST PRICE
The alternate list price from the product file displays as defined in Sales Inventory or Rental Inventory.

REVENUE HISTORY
Window to use the selection filters to view the product sales and rental history, as explained in Revenue History.
This inquiry window is not limited by Divisional Restricted Views.

Re-Order Information
RE-ORDER MULTIPLE
The re-order multiple displays, as defined for the sales parts in Inventory Re-Order Information or for rental equipment in Make/Model and Re-Order Information.

Click on the icon to the right of this field to view the Inventory Re-Order Information details.


RE-ORDER PRICE
The re-order price is defined for the sales parts in Inventory Re-Order Information or for rental equipment in Make/Model and Re-Order Information.

A flag in the Company Inventory Parameters controls how the Re-Order Price is displayed in this inquiry.
The value can be displayed on the screen, or suppressed on the screen and N/A is displayed, or hidden in a window so that customers viewing the screen can not see the pricing information.


RE-ORDER L.C.F.
This factor is used to calculate the Landed Re-Order Cost of the product in the local currency.

NON-RETURNABLE AFTER
This field applies only to Sales parts and merchandise.

This is the date after which this sales product is not returnable, as defined in the Inventory Re-Order Information for sales parts.


DATE ACQUIRED
This field applies only to Rental equipment.

This is the date when the items were purchased as saved on the Asset Tag Detail.


AVG COST EACH
A flag in the Company Inventory Parameters controls how the current product Avg Cost Each is displayed in this inquiry.
The value can be displayed on the screen, or suppressed on the screen and N/A is displayed, or hidden in a window so that customers viewing the screen can not see the cost information.

If Sales Item Average Cost by Location processing has been activated in the Support Application Parameters and this is a sales part, a window is provided on the cost field to view the product Average Cost By Location.


BOOK VALUE
This field applies only to Rental equipment.

A flag in the Company Inventory Parameters controls how the current product Book Value is displayed in this inquiry.
The value can be displayed on the screen, or suppressed on the screen and N/A is displayed, or hidden in a window so that customers viewing the screen can not see the cost information.


MARGIN
This field applies only to Sales parts and merchandise.

The Margin is calculated as a percent of the (Sale Price less Cost) divided by Sale Price.

A flag in the Company Inventory Parameters controls how the current product Margin is displayed in this inquiry.
The value can be displayed on the screen, or suppressed on the screen and N/A is displayed, or hidden in a window so that customers viewing the screen can not see the cost information.


Quantity Information
ALL LOCATIONS
Check this box to include quantities from all locations in the calculations, and to default to ALL locations in the following windows for the document selection filters.

Uncheck this box to select a single location for the product count values and the default in the selection screens.

LOCATION
When All Locations is unchecked, accept the default location for the operator, as setup in Operators, or select a location from the drop-down list according to the Divisional Restricted Views assigned to the operator.
The description is displayed.
Data Security:
In the Quantity Information portion of the inquiry, the product count fields display the totals for ALL locations or the counts for the single selected location.
The windows on the On Hand, and the Net Quantity also display the product information for ALL or the selected location.

Note: Even if ALL locations are to be viewed, the drill-down to document listings in these windows including the Warehouse Trx window, will only display documents per the location selection, and will respect the operator security defined by Divisional Restricted Views.


BIN LOCATION
When All Locations is unchecked and a location is selected, the Bin Location for the location record is displayed.

ON HAND
This is the quantity currently owned by your firm by this location or for all locations, according to the All Locations selection.

Window to view the quantity information by location, for On Hand, On Order, On Contract, Available, On P.O. and the Bin #, as outlined in Inventory Location Quantities.
This inquiry window is not limited by Divisional Restricted Views.


ON ORDER
This is the quantity currently on orders from this location or for all locations, according to the All Locations selection, including quantities transferred.

Window to view the orders for this product.
Selection filter options are provided to narrow the search as outlined in the Sales Order Inquiry.
The operator's Divisional Restricted Views are respected.

The orders for this product, list by order number, with location, customer number, name, and quantities ordered, shipped, and back ordered, with the net price each.
A window on the Order# field is provided to drill down to complete details on each order as outlined in View Document Information.

Tracking Transfers Out:
When the display is for a specific location, any 'Transfer Out' requests are included in the On Order count, and are then listed in the window with the transfer number in the Order# column and the "To" location in the Customer column.
The corresponding 'Transfer In' requests are included on the On P.O. information for the receiving location.

When the display is for all locations, transfers are not specifically defined as the numbers balance out over all locations.
Complete Transfer details can be viewed in Internal Transfer Console.


ON CONTRACT
This is the quantity currently out on contracts or on lease from this location or for all locations, according to the All Locations selection.

Window to view the contracts for this product.
Selection filter options are provided to narrow the search, respecting the operator's Divisional Restricted Views.
The contracts for this product list by contract number with the location, customer number, name, status, dates, and quantities.

A window on the Contract# field is provided to drill down to complete details on each contract as outlined in View Document Information.

Tracking Leases:
Although the On Contract count also includes quantities on lease as entered in Leases, the window to the document details does not list lease documents.

ON WORKSHEET
This is the quantity currently set on saved worksheets.

Window to view the worksheets for this product, respecting the operator's Divisional Restricted Views.
Worksheets are listed by worksheet number with the location, customer number, name, status, dates, and quantities.

A window on the Worksheet# field is provided to drill down to complete details on each worksheet as outlined in View Document Information.


NET QUANTITY
This is the actual quantity available for new sales or contracts, at this location or for all locations, according to the All Locations selection.
Net Quantity is calculated as Total Quantity On Hand minus the Quantity Committed.

Window to view the Inventory Location Quantities window displaying location quantity information of On Hand, On Order, On Contract, Available, On P.O. and the Bin #.

Note: This inquiry window is not limited by Divisional Restricted Views.


ON P.O.
This is the total quantity on open Purchase Orders, at this location or for all locations, according to the All Locations selection.
If the quantity available is zero or negative, additional Purchase Orders may need to be generated to fulfill the sales needs.

Window to view the Purchase Orders for this product.
Selection filter options are provided to narrow the search, respecting the operator's Divisional Restricted Views.
The Purchase Orders for this product list by P.O. number with the location, vendor number, name, and quantities.

A window on the P.O.# field is provided to drill down to complete details on each Purchase Order as outlined in View Document Information.

Tracking Transfers In:
When the display is for a specific location, any 'Transfer In' requests are included in the On P.O. count, and are then listed in the window with the transfer number in the P.O.# column and the "From" location in the Vendor column.
The corresponding 'Transfer Out' requests are included in the On Order information for the sending location.

When the display is for all locations, transfers are not specifically defined as the numbers balance out over all locations.
Complete Transfer details can be viewed in Internal Transfer Console.


ON W.O.
The quantity currently being serviced on Work Orders displays for this location or for all locations, according to the All Locations selection.

Window to view the Work Orders to service this product.
Selection filter options are provided to narrow the search, respecting the operator's Divisional Restricted Views.
The Work Orders for this product list by W.O. number and billing name.

Windows are provided to drill down to the W.O. information as outlined in View Document Information for Work Orders.


WORK ORDERS PARTS
This field does not apply and is disabled for rental products.

The sales part quantity currently Back Ordered on Work Orders displays for this location or for all locations, according to the All Locations selection.
Window to view a list of current W.O.'s for this location that use this Sales Part.
The W.O.#, location, customer number, name, price, and quantities, is displayed.

A window on the Order# field is provided to drill down to complete details on each Work Order as outlined in View Document Information.


Rental Activity
Life To Date and Year To Date values are displayed for "Quantity", "Hours Rental", and "Revenue" generated by this rental equipment based, on the Division selection, Year Start and Period End dates defined below.

Sale Activity
Life To Date and Year To Date values are displayed for "Quantity", "Revenue", and "Cost of Goods", based on the Division selection, Year Start and Period End dates defined below.

Repair History LTD
Life-to-date "Total Repairs", "Material Costs", "Labor Costs" and "Other Costs" values are displayed for repairs and service on this equipment, based on the Division selection defined below.

Note: The Year Start and Period End dates do not apply to the Repair History statistics.

DIVISION OR ALL
Enter ALL to view the Rental/Sale Activity and Repair History for all divisions, or select a specific division from the drop-down list according to the Divisional Restricted Views assigned to the operator.

YEAR START
Accept the Year Start that defaults from the fiscal "Year Start Date" set the last time Summarize G/L for Financial Statements was run, or select a preferred year start by using the date selection utility provided in the calendar window.
The Rental/Sale Activity will reflect this as the start date for the Year To Date statistics.

Note: The statistics are always based on the month and year, regardless of the day selected.


PERIOD END
Accept the Period End displayed as the last day of the current calendar month, or select a preferred end date by using the date selection utility provided in the calendar window.
The Rental/Sale Activity will reflect this as the cut-off date for the statistics.
